This position works in a meat processing plant office and assists the Production team as it grows and expands to serve our customers.
This role is responsible for providing full administrative support to the Production team and requires excellent skills in: Excel, Inventory Management, Interpersonal Communications, and Data Entry. The main function is to coordinate all the Purchase Orders accurately.
Hours are: Monday to Friday, 9:30 am to 6:30 pm, with flexibility and for vacation coverage of other team members as needed.

Position Overview
The Processing Administrator drives shareholder value by providing timely and accurate administrative functions related to the production facility. This position coordinates the flow of raw materials and finished products in and out of the processing room, records production yields, inputs data into Dynamics (Inventory Management System), tracks all vendor invoices and liaises with the Placement Agency for all workforce needs. This position proactively implements processes and procedures to improve the efficiency and accuracy of our inventory records keeping while delivering excellent customer service. Additionally, this position supports the Plant Manager, Production team and Head Office Finance team with reports, filing, and invoice payments.
Major Responsibilities
Responsible for all daily Processing Administration Functions:
o Bill raw material to production in Dynamics
o Enters the daily finished goods production into the accounting system
o Records and monitors yields and costs
o Liaise with 3rd Party Warehouse (Americold)
o Matches vendor invoices, purchase orders and receiving document and check for accuracy
o Codes vendor invoices for proper general ledger account distribution
o Submits vendor invoices to management for approval
o Files invoices in an unpaid file
o Maintains balance on raw material used by production
o Follows up discrepancies with the plant
o Checks prices to approved master price list
o Manages packaging and materials supplies to the processing facility including ordering, inventory control, and reconciliation of accounts
o Prepares, updates, and maintains product costing forms for all products produced in the processing facility
Key liaison with Placement Agency:
Provide Head Office Finance team with reports:
o Prepares monthly expense accrual sheet
o Prepares month end inventory reports for raw material and packages
Additional duties, but not limited to:
o Emails supporting documents to Canadian head office for billing
o Answers incoming calls and questions from customers or suppliers
o Assists in inventory reconciliations
o Maintains relationships with internal staff, external customers and third party warehouse employees
